Office Manager 
The Office Manager is responsible for office and employee oversight. The Office Manager is one of the most critical roles in the office and their primary focus is to achieve the targets set for the entire dental team daily.  Success in this role requires constant leadership and communication with all members of your team throughout the day. 
 
The ideal candidate for the Office Manager should possess confidence and a meticulous approach to patient workflow, clinical and operational results. In order to succeed in this role, excellent communication skills are essential for both staff and patients. Exceptional organizational abilities are crucial to maintain an efficiently functioning workspace. It is crucial to have a comprehensive understanding of ADA coding and be proficient in utilizing patient management resources.

Responsibilities: 
 
  • Build and maintain schedule that holds to the Open Door Dental Clinical standard. 
  • Handle and oversee in-office collections and make daily deposits. 
  • Analysis of weekly EOBs. 
  • Ensure office productivity and manage all internal office procedures and practices. 
  • Ensure that office staff members are efficiently performing their roles correctly and achieving targets. 
  • Understanding of patient scheduling and scheduling daily targets. 
  • Respond to operational issues in a timely and professional manner. 
  • Work well with the dental team. 
  • Manage metrics set by the dental practice. 
  • Enforce proper clinical documentation to be completed in a timely manner. 
  • Ensure proper clinical documentation is acquired for cases that require pre-determination. 
  • Manage in-office patient collections and balances. 
  • Responsible for ensuring credential and insurance team-member is billing claims correctly and accurately.  
  • Ensuring the collections team is collecting both patient and insurance claims at the expected pace.  
  • Ensure that patient engagement lead is managing challenges associated with no-shows.  
  • Present weekly operational report at close of the week.

  • To ensure the team optimizes patient care. 
  • Ensure the team target is reached daily. 
  • The ability to remain calm in stressful situations. 
  • The ability to work in a team. 
  • Excellent communication skills. 
  • Ensure providers are reviewing and schedule out two weeks. 
  • The ability to act when required to resolve a patient conflict.  
 
Role Requirements: 
  • A minimum of 5 years of dental administration experience and a 2-year degree 
  • Leadership and problem-solving skills. 
  • Dedicated to delivering excellent customer service. 
  • Professional and highly organized. 
  • Complete understanding of scheduling for dental practices. 
  • Complete understanding of dental billing and insurance procedures. 
  • Previous dental experience is required. 
  • Technology proficiency is required. 
 
Key Metrics: 
  • The Office Manager is a leadership position. It is your responsibility to ensure all operational metrics are being met by your team members. including front office team members. 
  • Performance Metrics: 
  • Meeting a Daily Net Production assigned by Dental Practice 
  • Encouraging buy-in and immediate identification of impacts to achieving targets by the entire dental team. 
  • Operational Efficiency (Audit Performance)

  • Consistent Performer (Days in Attendance) 
Role Roadmap: 
  1. The Office Manager is developed through on the job training. 
  2. The Office Manager is trained to be an Office POD Manager. 
  3. Office POD Managers can be promoted to Open Door Dental Operations Leadership.

Compensation: $60,000.00 - $75,000.00 per year
